SuiteDash Zapier integration for connected workflows

We connect supported SuiteDash records to your other tools, with clear mappings and checks for duplicate records.

When your Zapier connection needs a clear plan

  • An external inquiry needs to become a SuiteDash contact.
  • New SuiteDash projects need a handoff to another tool.
  • Existing Zaps create duplicates or stop on missing records.

What we configure for Zapier

Supported record events
Use documented company, contact, project and task triggers and actions.
Lookups before creation
Use supported searches and test the path when no matching record exists.
Field mapping
Agree required fields, roles and the record that owns each value.
Failure handling
Test repeated submissions and agree how failed runs are noticed and corrected.

Map the connection, then test real behavior

  1. Review the native option

Check supported events, account access and the tools you already use.

  2. Agree the data flow

Choose the source of truth, field mappings and handling for repeated records.

  3. Build and test

Check sample records from start to finish, including the failure path.

  4. Hand over the workflow

Explain the setup and agree how connection failures and future changes are handled.

Quoted by the tools and workflow involved

We review how many tools connect, what data moves and the steps required. We agree the project scope and price before building.

Your SuiteDash Zapier connection, explained

Which SuiteDash events does Zapier support?

SuiteDash includes its Zapier integration from Start. The current listing has four triggers: New Company, New Contact, New Project and New Task.

Actions create and update companies, contacts, projects and tasks.

Searches include Find Company, Find Contacts, Find Project, Find Task and Find Staff.

What is outside the listed Zapier events?

The SuiteDash app listing does not include invoice, proposal, form or file triggers or actions.

A webhook or API approach needs a documented event or operation for the particular data. It is not a universal replacement.

The listed new-record triggers use polling. We do not promise an immediate handoff.

How do we connect and test a Zap?

SuiteDash documents a Token and User ID in Integrations for the Zapier connection. These differ from Secure API credentials.

We map required fields, choose an existing-record search where supported, and test the no-match and matched-record paths.

We then replay a sample submission to check duplicate handling. We agree notifications and recovery for failed runs.

Example we would build: turn an inquiry into a CRM record

We would take a submission from an external form and use Find Contacts to check for an existing SuiteDash contact.

A matched record would follow an agreed update path. A new inquiry would use Create Contact with mapped name, email and role.

We would test both paths and a repeated submission before launch. This is a proposed workflow, not a tested build.

Plan API usage before the workflow grows

SuiteDash Secure API credentials are a Public ID and Secret Key. Keep them in the connection settings, not public website code.

Monthly Secure API allowances are 80 calls for a trial, 400 for Start, 2,000 for Thrive and 20,000 for Pinnacle.

Estimate API requests from lookups, updates and retries. These are API allowances, not the number of contacts you can store.

SuiteDash recommends Treat as successful for missing API records when using Pabbly, Zapier or Make. Test the no-match branch explicitly.

SuiteDash webhooks send events out

SuiteDash documents outbound webhooks for subscriptions and projects, plus a Webhook Notification automation.

Subscription events include Created, Canceled, Expired and Unpaid. Project events include Created, Updated and Deleted.

Select the fields to send and preview the subscription or project payload. Automation webhooks send HTTPS POST requests.

Outbound automation destinations support custom request headers. A webhook receiver in another tool does not make SuiteDash an inbound receiver.

We confirm webhook availability in your account before quoting. Receiving data in SuiteDash requires a supported connector, API operation or form.

Questions about SuiteDash and Zapier

Are Zapier credentials the same as Secure API keys?

No. SuiteDash documents Token and User ID for Zapier, and Public ID and Secret Key for Secure API.

Does the SuiteDash app have an invoice trigger?

The current Zapier event list does not include one. We check documented webhook or API options for the exact billing workflow instead.

Can you fix duplicate contacts from a Zap?

We can review the search, field mapping and retry behavior, then scope a correction. We test existing contacts, missing contacts and repeated submissions.
